This article has described the Trackinno system's basic usage through the desktop version

Trackinno system can be used through desktop version and mobile application. The mobile application has been optimized specially for basic users' needs. Despite that, all basic using features can be performed through both versions, and in this article, the focus is on the desktop version. If you prefer to use the system through the mobile application, we recommend reading this article.

1. Logging into the Trackinno service

Trackinno Systems' desktop version works on the browser.

  1. Start by browsing service.trackinno.com

  2. Log in with email address and password (Log-in credentials are typically created by the admin during system deployment.)

  3. If needed, you can set up a new password from here: service.trackinno.com/forgot.

2. Finding assets

Trackinno system desktop versions' basic usage starts by finding assets and viewing assets information, nevertheless, you are trying to find the correct tool for your job, performing check-ups, or checking assets in or out.

  1. Go to the asset list by choosing "Assets" from the menu on the left

  2. If needed search assets with unique information (for example asset type, serial number, manufacturer, etc.)

  3. Go to assets information by pressing assets name

At the asset list, you can view most of the assets information, but more specific information such as attachments and a timeline of the asset's events can be viewed from assets information.

3. Viewing assets information

When you have moved into assets information, you can view assets information in detail. The screenshot has presented asset information.

  • Perform an action: By pressing the button you will find Check-out and Check-in features and other actions such as performing tasks.

  • Info: View and update asset information.

  • Comments: Add comments to the asset and view previous comments.

  • Attachments: Add attachments to the asset, for example, a picture.

  • Calendar: View the asset's usages and reservations in the calendar and make a new reservation to the asset.

  • Events: Browse assets timeline.

  • Map: View the asset's location on a map

4. Linking assets to tags

Trackinno application uses QR/NFC tags to individualize assets. With tags, asset information can be viewed easily with a mobile device which makes keeping information easily available. In the desktop version, tags can be linked only to existing assets from asset information.

Linking the tag to the asset can be done by following:

  1. Choose an asset where the tag will be linked from the asset list (see "Viewing assets information").

  2. From assets information, you can find a section "Tags".

  3. Choose the "Pair tag to asset" button.

  4. Choose the tag type and write the tag id to the field

  5. At the end choose the "Pair tag" button. Done!

5. Creating new assets

Typically asset lists will be imported to the Trackinno system as Excel imports during the system deployment. Asset lists need updating if there are deficiencies during the Excel import or if there is an acquisition of new assets. New assets can be added to the system with these steps:

  1. Go to the asset list by pressing "Assets" from the menu on the left.

  2. Choose "New asset" from the top right corner.

  3. Fill in the assets information and choose "Create".

  4. Done!

6. Asset check-out and check-in

In the Trackinno system assets can be checked out for usage which creates on-time information to the system where the asset is being used and its status. Even though creating usage is way simpler with the mobile application and tags but usage can be created on the desktop with the following steps:

  1. Go to the assets information (see sections 2. and 3.)

  2. Choose "New Usage" from the top right corner.

  3. Fill in usage information, such as location, other assets, and starting date

  4. Choose "Create".

  5. Done!

Checking in usages is performed in a similar way:

  1. Choose an asset that you want to check in from usage and go to its information

  2. Choose "Check in"

  3. Choose the location where the asset will be returned

  4. Done!

7. Performing tasks

One of the key features of the Trackinno system is performing tasks. Task types can be customized widely but typical examples are yearly maintenance, calibrations, and fault reports. Tasks can be performed in the following way:

  1. Find the wanted asset and view the asset information (see sections 2. and 3.)

  2. Choose from the right upper corner "Perform action" and from the opening menu the wanted task type

  3. Fill out the form from the opening menu on the right

  4. Select "Save"
